Our Policies
Exploring Excellence Learning Center upholds the following policies to ensure the safety, dignity, and well-being of every child and family in our care.

Non-Discrimination Policy
In accordance with federal civil rights law and USDA regulations, EELC is prohibited from discriminating based on race, color, national origin, sex, disability, age, or reprisal for prior civil rights activity in any program or activity.

Confidentiality Policy
All child records, family information, and medical files are kept strictly confidential in accordance with ODJFS requirements. Records are accessible only to authorized staff, the child's parent or legal guardian, and regulatory agencies as required by law. No information about a child will be shared with any third party without written parent consent.

Mandated Reporter Policy
All EELC staff are mandated reporters under Ohio law (ORC 2151.421). Staff are legally required to report any suspected or known child abuse or neglect to Hamilton County Children's Services immediately. This duty cannot be waived. Staff receive annual training on identifying signs of abuse and proper reporting procedures.

Open Door Policy
Parents and legal guardians have unlimited access to all areas of the center used for childcare during our hours of operation (Mon–Fri 7:00am–5:30pm). You are always welcome to visit, observe, and participate in your child's day. We ask that all visitors sign in at the front desk upon arrival.

Photo & Media Policy
Photos and videos of children are used only with written parental permission obtained during enrollment. Images may be used for Child Pilot daily updates, center newsletters, and EELC social media. Staff are strictly prohibited from photographing children for personal use. Parents may opt out of media sharing at any time by notifying the administrator in writing.

Technology & Social Media Policy
Staff are not permitted to use personal cell phones or devices around children during working hours. Personal social media use during work time is prohibited. EELC will never post identifiable information about a child online without explicit parental consent. Parents are encouraged to follow EELC's official accounts and to report any privacy concerns to the administrator immediately.

USDA Food Program (CACFP) Policy
EELC participates in the USDA Child and Adult Care Food Program (CACFP), which provides nutritious meals and snacks that meet federal nutritional guidelines. All children receive breakfast, lunch, and a PM snack at no additional charge. Meals are served family-style. Dietary accommodations are made for children with documented medical or religious needs — notify the administrator with documentation.

Transportation Safety Policy
All field trips are conducted in EELC's licensed 12-seater vehicle. Every transporting staff member holds current CPR/First Aid, Communicable Disease, and Transportation certifications. Children are accounted for before departure and upon return. Every child must have a signed permission slip on file before boarding. Children wear EELC t-shirts with key contact badges on all field trips.

Positive Behavior Support Policy
EELC uses a Positive Behavior Support (PBS) framework. Our approach focuses on teaching children appropriate behaviors through consistent routines, clear expectations, and positive reinforcement. Physical punishment, humiliation, threats, and withholding of food or rest are strictly prohibited. Behavior management plans are developed collaboratively with parents when a child requires additional support.
